Secrets of a Running a Successful European Conference

August 31st, 2009

Introduction

When a company or organisation wants to put on a conference or large event, it is unlikely they would consider doing it themselves. Most companies do not have all the necessary in-house expertise, and releasing personnel from their regular work could be less cost efficient than bringing in the experts. There is also a great deal more to organising a conference than most people would realise in that it is a very stressful and technical activity. The client therefore would usually call in another company that specialises entirely in conference and event management.

There are a great many companies offering Corporate Event Management Services so competition is keen. Even if you are the best you still have to compete with others who offer lower prices and might appear to be less expensive. One of the ways of countering the cut throat business in the UK is to look at offering Conference Production Services in Europe. European managers then have the option of using a UK or EU company to provide for their Conference or Event. UK conference services are more than able to offer competitive prices. In the current economic climate with the pound at its lowest value for many years, UK companies have a distinct advantage in the EU market. The following example will serve as a useful illustration of the many benefits of taking your event expertise outside of the domestic environment.

I plan to take you through a step by step account of the stages of managing an event in Europe using examples from a recent contract in Rome.

Step 1

As a company offering conference and event management services it is essential that the quality of service provided is professional and value for money. To this end attention to detail is paramount. The project manager will know his team and the quality and reliability of the technical staff, the quality of the electronic equipment and the soundness of the sets that are used. Once these issues are in place and proven on previous jobs then the pitch to the client can be confident and knowledgeable so that the client can be reassured things will run smoothly. If you can trust your team to do a good job then the client can trust you to do a good job.

Step 2

The Brief

The brief we were given was a three and a half day conference event in Rome in early February for approximately 150 international delegates attending, the majority of whom would be travelling from the USA.

Technical Specification

The technical requirement was to combine a rear projection set and a four speaker PA system with radio microphones. Also data and video switching, wireless table microphones for delegate interaction with presenters in question and answer sessions. They wanted two show laptop PC’s loaded with PowerPoint and various video software to assist with conversion of any extra footage required to a suitable format for projection.

Step 3

A quotation was provided for all the physical hardware and the technical requirements and the services of the project manager and his team. No subcontracting was required. Details were agreed and the quote was accepted by the client and a contract issued. It is important to make sure you have a contract and in it, a clause for cancellation charges.

When there are sudden emergencies can you trust your event company to deal with the problems that arise?

Step 4

When organising any event abroad we find it more responsible and economical to use our own technical equipment and workforce who we know and trust. There are no problems with language and the team understand the technical issues that are likely to be encountered. They are used to working together, each having their strengths to contribute to the whole, and they can be trusted to do the best possible job with the minimum of fuss. However planning is a key activity particularly when organising meetings and conference events abroad. If you have forgotten something it’s too late to go back when you have driven 600 miles. So having decided to transport the full conference set, staging and equipment by van to Rome we then worked out the details of how best to achieve it.

Step 5

Transportation

The size of the event is critical to the choice of shipping. In our Rome example it was possible to convey all the required equipment in a hire van which could be driven using a standard UK driving licence. If the scale of a conference or exhibition event is much larger it would be recommended to use a dedicated freighting company to collect, deliver and return staging and technical elements to the destination. Using a dedicated freighting company also has the benefit of delivering the key personnel to the event without them being tired out after driving across Europe.

However, in this case it was decided that the event technicians would drive the van to Rome which would still be well within budget for all staging and technical elements. When hiring a vehicle it is essential to pay attention to maximum load capacity of the vehicle. The weight of the technical equipment and set must be less than the maximum load and once the main systems are onboard, care must be taken not to fill it to the brim with extra bits and pieces.

It is so easy, when being helpful, to add the client event material, such as delegate registration systems and materials, brochures, display and graphic panels. The result can easily mean that the maximum safe load allowance for the vehicle is compromised. As the load capacity is a legal necessity it is never a good idea to consent to extra items on behalf of the client without being aware of the likely impact on overall weight.

Step 6

The Journey

As the distance was twelve hundred miles there and back it was decided that with an allotted journey time of two and a half days each way to Rome would be adequate. Although it would have been possible to travel to Rome in two days we have learned from experience to allow a margin for any delays en route. It also allows for the technicians themselves to be fresh enough after the road trip to be able to work effectively.

When travelling long distance across Europe and at a time of year when the weather might be inclement, it is essential that the safety of personnel and other road users is paramount. By dividing the travel time between two drivers and rotating them every two hours, we have found that neither is unduly tired. This system allows large distances of up to 600 miles a day to be covered with safety. Regular breaks help to maintain concentration and awareness, with total travel times of no more than ten hours in any day and preferably no more than eight hours a day.

For corporate entertainment it is recommended to use a conference management company that specialises and are skilled in the business.

Having chosen the route to be taken from the UK to Rome we left the UK via a ferry from Dover to Calais and then journeyed to an area just North of Dijon on day one. From Dijon on day two, the journey continued as far as Bologna via the Mont Blanc tunnel. We decided on day three, to make an early start for the half day drive from Bologna to Rome and deliver the equipment to the venue, then rest up for the remainder of the day so the crew would be fresh to start work the next morning.

Navigation across Europe is now much more straight forward with Satellite, but we would also suggest printed route plans and local maps of any places where a stop-over is planned. It has sometimes been the case that even with the latest updated information the Sat Nav cannot always find the precise location of the road you want, due to the ongoing construction of many new motorway networks. You may find yourself suddenly stuck on a road it doesn’t know and this is when the co-driver can be a great help to navigate you through the confusion.

Step 7

Accommodation for Overnight Stops

Choosing accommodation for suitable overnight stops is worth some research. There is a plentiful choice of motel stops near to all major roads in France and Italy all of which are reasonably priced. However, there are superb guest houses away from the main cities and major roads which offer a much more relaxing experience for a tired traveller and are usually cheaper than the chain motels. Often these places have secure parking enhancing vehicle security from theft and damage. After all, when freighting audio-visual systems with a value stretching to tens of thousands of pounds, peace of mind is useful to say the least.

Step 8

On Site Conference Production

On arrival in Rome we drove the van to the conference venue so that the audio-visual equipment and staging could be unloaded directly into the conference room. This was to secure the items and have everything ready for fitting the following day. Getting an early start to set up the equipment allowed for the client to begin presentation rehearsals on the afternoon of the rig day. Later on the same day there was to be an evening reception and brief welcome presentation to all attending delegates. The setting up procedures are tried and tested and the team worked like a well oiled machine so that all the audio-visual elements were complete and in place on schedule and all the technical systems were working correctly by the time the client presenters arrived from the USA.

Step 9

Audio Visual and Production Content

An example of the kind of last minute technical hitches that has to be resolved is when a conference presenter is unable to submit his presentation during the pre-production period and will arrive on site with it in his briefcase (Probably having worked on it during his flight over). The production team will not know until late in the process what presentation format is required. However the presenter will still expect his material to be incorporated seamlessly into a master slide deck. If a conference set uses a wide screen projection format the content will need to be generated in a sixteen by nine aspect ratio. Unknown to the presenter however, the offered material may have been built around a slide template that used a four by three aspect ratio instead. Depending on content, this may have minimal impact on the look of the presentation but if there are images of people, or pie chart graphs, these will then appear as stretched and elliptical shapes which would be unsatisfactory. Fonts and text boxes may move out of alignment and embedded applications such as XL may well be impossible to read.

Some companies have highly trained staff to operate av equipment at exhibitions and corporate events.

During the rehearsals for the first day of the conference one of the American presenters had travelled to site with a power point presentation containing video footage. Unfortunately the video content had not been embedded into his presentation so it did not appear as he expected. The video content was hyper-linked to files that were inaccessible from the PowerPoint presentation - supplied to us on a memory stick. Fortunately with our technical expertise we were able to download the video from source and convert the video footage into a high resolution format that would be compatible with our audio visual systems. This is when event support specialists, who speak English as a first language and are familiar with the requirements of such last-minute complications, are priceless.

In an ideal scenario, all presentation content will have been submitted during the pre-production phase to minimise such last minute glitches, but more often than not on-site changes are required to re-format a presentation. Whilst it is by no means out of the question that a local AV company might well have been able to do the same, feedback from client events in Europe suggests that when they have used a local supplier they have often failed to be sufficiently expert to support such needs.

Step 10

During the Conference

Over the period of the two and a half day event we were able to further increase our reputation with the client and delegates. Something that they had overlooked until the last minute was to provide appropriate themed music for role-play exercises. Although it had not been part of the original conference production brief, we were able to provide apt and timely presentation support at very short notice from our on-site database of over thirty thousand music tracks.

Whilst seeming relatively trivial points in themselves the above types of scenarios can be very stressful for conference and event organisers, who already have responsibilities that go beyond the presentation content. The corporate conference event being organised by the client is a huge task of delegate management and event logistics, so that any projects that can be left to an experienced dedicated event management team such as ourselves, frees them up to focus on their own tasks of delivering a successful delegate experience.

Step 11

Language Issues in European Conferencing.

When working in Europe either as an event manager, conference producer, or production company, it is always helpful if you are able to communicate directly with the people you meet at the venue and along the way. Whilst all major event management destinations and hotels across Europe have staff who will speak English, there are occasions when they will not be available. We are lucky to have colleagues with rudimentary skills in French, Spanish and German who are all keen to improve their language skills. They are prepared to have a go whenever possible to try out what they have learned and this has sometimes proved to be invaluable. It may seem obvious to say, but we recommend that at least one on your production team should have a working knowledge of the local language and should be encouraged to use their language skills as often as possible. It is often surprising how a little effort can generate a much better response from those who you are working alongside.

Conclusion

If you haven’t given much thought to the idea of working in Europe then we really recommend it. Conference events in Europe can be undertaken by a UK event production company at comparable cost to our European colleagues in the audio-visual supply sector. Favourable exchange rates add a further competitive edge to the costs of bringing your audio-visual and staging from the UK. Researching and planning the route and method by which conferencing systems are freighted and delivered will provide surprisingly low cost delivery solutions.

Taking your preferred conference production team with you to Europe will give increased peace of mind with regard to the quality of your technical support. Our client in Rome was very happy with the service and level of attention to detail we brought to their conference and repeat European corporate events are now routinely part of our conferencing diary. Fortunately our team really enjoy the experience of travelling abroad and having the opportunity during ‘down time’ to experience life in another culture and country. Particularly at the last night celebration which, rather like a topping out ceremony, tradition dictates must take place at the end of each show!

Best Ways to Locate Denver’s Top Limo Companies

August 31st, 2009

If you are trying to locate a limousine service for your company and it’s employees then you need to take some time and do your research . The problem with most Denver Limousine Companies is that many services are very hard to rely on and are basically a taxi service that happens to have a Town car. You need to find a company that offers an “On Time Guarantee” and that has a great demeanor over the phone. This is a sure way to tell if a limo service is professional. Having the “On Time Guarantee” gives you the peace of mind knowing that you won’t be left stranded waiting for your vehicle. So don’t be left standing alone and waiting for your vehicle – find the limousine in Denver, CO that has an on time guarantee. Make sure and find out who the best companies are when looking for a limo. Remember, that reliability is a huge factor in booking a limo. You’ll be glad you paid a little more for good service. Overall, you’ll be glad you took the time to do this research. Go out and enjoy your limo ride!

You should also beware of Denver Limo companies with ultra low rates, the companies are trying to undercut the legitimate companies and in many cases they show up late and with a vehicle that is in miserable shape. After all, what good is paying $30 for a ride to the airport and then having your driver show up 1 hour late? This could cause you to miss your flight and wind up costing you lots of time and money. If you want to save money, don’t waste your cash on stretch limousines, these gaudy vehicles are no longer the choice of intelligent businessmen and women. If you are traveling in a group – you should reserve a 6 passenger SUV. All of the top Denver Limousine companies have these vehicles and they are great for getting around the city. Plus you won’t look too pretentious when pulling up in a nice, discreet black SUV. If there is a major snowstorm in Denver, you can rely on these 4×4 SUVs to get you to your destination.

Speaking of snow, many vacation travelers who are going skiing or snowboarding will choose these SUVs to take them to resort destinations such as Aspen, Vail or Steamboat Springs. Driving to these remote ski slopes can be very “white knuckle” and you don’t want to risk doing this in a rental car. The best part about these limousine SUV’s is the fact that they have a rack that will hold your skis, snow boards and other gear you need to take to the mountains. Even in the summer, you can take your fishing, hunting or camping gear with you and still have plenty of room for 6 passengers. You’ll be able to focus on playing and forget about driving!

Make sure that you limo comes with complimentary bottled water and that your chauffeur wears a black suit and tie. These are good signs of a professional limo service. Wolfe Limousine is known as the top limo service in Denver and they have a great reputation. Wolfe Limousine offers an “On Time Guarantee” and they have nice, new black 4 x 4 SUV’s. You can find them among other Denver limo companies online by searching Wolfe Limousine Colorado in Google, Bing or Yahoo search engines. Look for a limo service that will meet your needs and that can provide reasonable rates. Once you have your limo booked, you can relax and enjoy all of the sights that Denver has to offer. This city is full of things to see and do, and what better way to see these sights than in a Denver limousine? Remember that the reliable limo companies are the best choice. Beware of companies with a bad reputation in Denver. Only a few select companies offer the on time guarantee. Remember to pass along the word to your friends and family if you find a good limo company!

Getting The Crowd Into Your Trade Show Booth

August 31st, 2009

Getting the proper crowd into your trade show booth can be a big task, but not impossible.   Walking the trade show floor on numerous occasions  I have noticed that there are some impressive looking trade show displays and some just mediocre.  I have also noticed some of the nice impressive booths have no crowd in them. Attendees just pass them by as if they were not there. The booth looks relatively nice with decent product displays yet no visitors to the booths (as a matter of fact I have seen some exhibitors which are the powerhouse of their market without any crowds in there booth at all) this means no new clients and also they may have gotten to be a powerhouse by other means, definitely not by displaying at trade shows. What makes the difference in attracting attendees into you booth?   There are a few factors

1- In getting attendees into your both first of all you must have a friendly and inviting trade show display, this mean do not configure your trade show booth like a forte.  It should be open and inviting -one should not feel trapped once they enter your booth.

2- Greet attendees in the trade show aisle not in your booth, Very few  will ever freely enter your trade show booth without being invited

3- To capture attendees’ interest you must have something different from the rest of exhibitors. Try to create some sort of theme or major attraction inside your trade show booth. This will serve as a major draw for show attendees. Your trade show booth might be nice looking but still unable to entice the crowd, therefore, a crowd pleaser is a must. I  have seen this happen at a recent show, true the attendance was down at the show but all in all most exhibitors said they did better that the previous year or show , why?. Fewer exhibitors mean less competition for you the exhibitor. This in turn turns into leads which eventually can result in sales.  In getting the best out of your trade show you must have something unique different from the rest of exhibitors. DO not use gimmicks they only work but for so long, be creative about your product or the imagery of your booth…always introduce a theme whether in the appearance of the booth itself, your product or the actual displaying of the products themselves… be creative intelligently and forget the gimmicks

To recap your trade show booth should be inviting and open. One should be able to enter your booth not feeling trapped.  There should be some sort of theme to your booth and show something that is different from the rest of show exhibitors. To seek  professional help with this please contact ELDS, INC at (626) 969-3399

How to unlock your iphone and do an electric car conversion

August 31st, 2009

One of the most popular gadgets of 2008 was definitely the Apple iPhone. With the ability to browse the internet, send emails, watch videos and much more, it quickly became featured all over the place. However, there was one problem with it. By default, the service provider for the iPhone is AT&T, which is not always that reliable. Many people wanted to switch service providers, but Apple didn’t make it an easy option. This is why there is a demand for software that can unlock iphone. The good news is that you can pick up a simple piece of software that can unlock your iphone in one click, so you can use a different service provider. Recently, the latest iPhone (the 3G) was also unlocked. It was really only a matter of time before it happened.

If you don’t have an iPhone, then there are other ways to have fun, such as by doing an electric car conversion. Electric cars are in fact becoming very popular. With the Tesla Roadster costing around $100,000, it’s only available to people that really make a huge income. Converting your car into an electric is obviously going to be cheaper, but it will take a ton of time and effort also (plus a lot of mechanical skills).

That being said, an electric car conversion does have quite a few benefits, so it’s worth checking out if you like working with car engines. Electric cars don’t use fuel, they tend to be quieter, have great performance and are easy to drive.

Improve the Usability of Your Website

August 30th, 2009

No matter how brilliant your website design is, if it is hard to reach the content of your site then your site is as useful as an empty shell. Here are some tips from Internet Marketing Helpline to improve the usability of your website to ensure it serves its functions optimally.

The first method is to make sure the typography of your content is suitable. If you have large blocks of text, make sure to use CSS to space out the lines accordingly. The longer a single line of text is, the greater the line-height of each line should be. Also, make sure the font size of your text is big enough to read easily. Some sites have 10-pixel-tall text in Verdana font; while that may look neat and tidy, you have to really strain your eyes to read the actual text.

A highly recommended piece of internet marketing help is to make it easy for visitors to find content that they want on your site. If you have thousands of articles on your site and a certain visitor wants to find one single article from that pile, you have to provide a feasible means to enable visitors to do that without hassle. Be it an SQL-driven database search engine or just a glossary or index of articles that you have, providing such a feature will make sure your visitors can use your site with ease.

Ensure that your site loads fast if you do not want to lose visitors. Most internet users will leave a website if it doesn’t load completely within 15 seconds, so make sure the crème de la crème of your website is delivered to the visitors as soon as possible to retain their attention.

Last of all, test each and every link on your site before it goes online. There is nothing more effective in tarnishing your professional image than broken links, so be very careful about that. The Internet Marketing Helpline is located in Rockford, IL and would be happy to offer you advice for your company, no matter how large or small you may be in size.

Buy Travel Currency at Good Rates.

August 29th, 2009

If you want to commence forex trading, it is pretty necessary to look for a efficient broking service.  First you should browse services on the net.  This means you to view assorted features.  Areas to seek out include: devoted account handler, which variety of platform is utilized, what is the spread, and so on.  After that, it is best to do some research on the general characteristic of trading and the the marketplace.  beginners regularly fall into the trap of becoming swept up with the edgy facet of trading, and chiefly on the forex market, thanks to its undulating character.

It is freely known that the forex market is the most quick marketplace in the world.  Each minute of a day, currency exchange  is taking place.  Every time you change money – for example when planning a holiday to a country that has another currency to the nation you reside in, you are partaking the FX market.  Currency are exchanged on this market similar to a marketplace exchanging food in your street.  The Forex market is accessed on a international scope.  There are people enter this market to invest their funds.  Others simply get engaged when transferring money to family overseas.  In those circumstances, the foreign exchange market is merely being contacted by the money transfer company when they carry out the change from one currency to another.

A pretty hard trade category is CFD Trading.  This requires that the person is predisposed to relinquish all – or a portion of their invested capital.  Barry Stevens from Hull knows of this: he broke into CFD trading some years ago.  To begin with, he made returns in speedy sequence.  He appreciated the high and got captivated with placing positions.  Regrettably, Barry made a massive loss on his next bet and stopped all trading henceforth.  When all is said and done Barry found out that it is a insecure trade variety.

7 Things That Are Guaranteed To Boost Your Sales And Orders

August 29th, 2009

Getting more sales and orders on your sites could be something that poses a problem for you. To ensure you own web prosperity, you must do things in a certain way and be responsible for making changes that will allow you to get more sales and orders.

1. Give your potential costumers some extra incentives to persuade them to buy right away. You could offer free shipping, extra bonuses or an exclusive bonus that no one else will get. This will make their impulse to buy a lot stronger.

2. Be more profesional. The better your business looks to your prospects, the higher is the possibility that they will buy something from you. Get professional web design, make a quality informational product or whatever else might make you look better in the eyes of your prospects.

3. Be as clear and as precise as you can be in the order and purchasing process. The better your costumer understands what they have to do to get your product and finish the purchase, higher are the chances of them doing it.

4. Give as much incentive as you can to people who have already purchased a product from you to buy another one. Offer discounts, special privileges and bonuses for repeat purchases. Reward costumer loyalty and make more money.

5. Don’t be shy about telling people about your site and business. If you participate in forums and message boards and you help people and lead constructive conversations, there is no reason why you shouldn’t include a signature file in there with a short pitch and invitation to your site.

6. Use press releases to get the word out about your new offer. Use strong words and encourage people to visit your site and buy your products.

7. Establish authority and credibility online. This can be accomplished by selecting a small field of interest and becoming an expert and a person that is basically very well known for what they do and how they do it. If you want to be an expert in affiliate marketing, focus on affiliate marketing. You have to dedicate your time and effort to something and avoid spreading yourself and your time too thin with tasks and assignments.

These are just some of the suggested courses of action for getting more sales and orders. This works great for my affiliate and network marketing training sites and I think there is no reason why it shouldn’t work for you in any other niche.

What is virtualization?

August 29th, 2009

There is hype out there about Virtualization but what exactly is it and what are its pros and cons? Cost effectiveness and flexibility are the main results sought by IT professionals and software developers utilizing this technology.

The technology of virtualization permits more than one piece of virtual equipment to operate on just one hosting computer. Several operating systems are able to run on these virtual machines, including, but not limited to Windows, Linux, and UNIX

Virtual machines utilize their own sets of virtual hardware such as CPU, RAM, and Hard Drives which lets the operating system operate as if it were implemented on its native physical device. The virtual machine solution is gaining popularity for many organizations which are also making use of professional VMware services. Server consolidation allows IT professionals to utilize server resources as well as isolate virtual machines, allowing them to run different operating systems and applications.

Virtual machines saves developers from having to set up multiple machines, taking the risk of using experimental software in a production environment, and allows them to quickly test applications on different platforms. You can work this software almost anywhere but if in doubt use a professional VMware consulting person.

After the software installation is over, generating virtual machines is quite easy as VM’s are simply file collection present on the host machine. You arrange your virtual equipment settings on the hosting computer, perform the installation of the system that runs it, and you are prepared to get started. It’s typical to utilize a primary image of a virtual machine with the operating system and essential programs properly employed. Then you can quickly use virtual machines by duplicating the main image to various Virtualization hosts to ensure no downtime and full server accessibility.

One of the most popular virtualization products available, VMWare, will soon have a free version of their product. This will allow any organization to host virtual machines on either Windows or linux hosts but the more serious business should consider using professional VMWware consulting services
